Prime Time Palm Beach County is hosting its Afterschool Symposium 2025 for out-of-school time (OST) practitioners. The annual event provides well-deserved recognition for practitioners who work in local afterschool and summer programs and professional development and exposure to new resources.

We invite you to be part of this year’s symposium, Empowering Youth Minds, Engaging Communities, Creating Lasting Impact, to offer youth meaningful out-of-time experiences, on May 9, 2025, from 8:00 a.m. to 1:00 p.m. We are particularly interested in showcasing products and services that promote skill-building such as teamwork, persistence, goal-setting, self-control and getting along with others, which could be linked to success in school, career and life. We anticipate the symposium attracting more than 250 OST professionals from across the South Florida region who serve a myriad of organizations – public, private, faith-based, urban, suburban, rural, large and small.

As an exhibitor, your organization will be featured on the Prime Time Palm Beach County Afterschool Symposium website and provide handouts to be in our attendees conference tote where you can showcase your offerings to out-of-school time professionals while boosting your organization's image and visibility. In addition, each exhibitor will be given an event attendee list with contact information following the event for future promotion.

Registration & Fees

Early registration is strongly encouraged. Complete and return the exhibitor application. You will receive a confirmation email once your application has been received. There is a slight fee to be an Exhibitor-to-Go! which is the space for a handout in our attendee's conference tote provided to attendees. We will be reviewing applications and accepting those that fit our criteria for the out-of-school time field. We will waive fee to be a Exhibitor-to-Go! if a prize is provided for the event (i.e., gift cards, products, services, free classes, etc.) or swag for our conference bags (275 items). These prizes will benefit out-of-school time (OST) programs.

The Exhibitor-to-Go! includes access to approximately 200 OST providers, listing in the Prime Time Palm Beach County Afterschool Symposium 2025 website, and space for a handout in our conference tote. Application deadline is Friday, April 4, 2025, at 5:00 p.m. EST.

Space

Exhibitor-to-Go! will be provided space for handouts in our conference tote that will be provided to attendees and listed on our website.

Exhibitor Expectations

Handouts/Brochures will be provided to Prime Time Palm Beach County, Inc. by Friday, April 18, 2025.
Payment due to Prime Time by Friday, April 18, 2025.
If providing a door prize and/or swag for our conference bag, items will be provided by Friday, April 18, 2025.

Rules and Conditions

As part of the contract between exhibitors and Prime Time Palm Beach County, these rules have been created to ensure a successful event for exhibitors, sponsors and participants. Prime Time reserves the right to determine the eligibility of any company for inclusion in the symposium and reserves the right to reject, affect, or prohibit any exhibit in whole or part, or any exhibitor or his/her representative. At the discretion of Prime Time, products deemed inappropriate or objectionable will be removed from the bag.

The exhibitor agrees to indemnify and hold harmless Prime Time Palm Beach County and official symposium service contractors for any claim arising out of acts of negligence of exhibitors, their agents and/or employees.

Liability: Exhibitor agrees to make no claim for any reason against Prime Time Palm Beach County and any contractors for loss, theft, damage or destruction of goods; nor for any damage to his/her business by reason of the exhibit; nor for any injury to him/herself or employees; more for any action of nature of the Afterschool Symposium, or its members, officers, committee, agents, or employees.
